Post a charge
Adds the same charge to every Scout you tick. They'll see it and can pay online.

New collection
Makes a page anyone can pay from — no charge has to exist first. Share the link or print the code.
Selling bundles instead — $5 for 6, $10 for 15? Create the collection, then use Bundles on its row below.

Add an event by hand
For anything not on the Scoutbook calendar yet. An event that came from the calendar has its date, name and place edited in Scoutbook — those are overwritten at the next sync. Sign-up sheets are not: they belong to this app and a sync never touches them.
Scouts in this unit
Tap a Scout to see their parents and what you can change. Imported into the wrong unit, or crossing over? Move them from there — the charges they already have stay with the unit that raised them.
Add a Scout
For one or two. Use the file import below for a whole roster.
A parent, if you have one now — they can sign in and pay as soon as they are attached. Nothing is emailed either way, and you can add or change this later from the Scouts tab.
Import roster
In Scoutbook Plus go to Reports → Roster Builder, tick the columns you need, and export.
Which columns to tick, and why
- Scout name — required. Rows without one are skipped.
- Parent email — required in practice. Without it that parent can't sign in, since a sign-in link is the way in. Scoutbook's adults export cannot supply these: it has no email column and nothing linking an adult to a Scout, so it cannot be joined to this.
- BSA member ID — strongly recommended. It's what keeps a Scout matched to the same record when you re-import later; without it matching falls back to the name, which breaks the first time someone goes from Robert to Bobby.
- Den or patrol — optional. Shows as a label beside the Scout on the Owed list.
- Parent name — optional. Without it, parents are listed by their email address.
Extra columns are ignored, and the names don't have to match exactly — each field is recognised by several spellings. Nothing is saved until you preview and then apply.

Your join form
Print the code on a flyer or put the link in a school newsletter. Anyone can fill it in — no account needed — and nobody reaches the roster without a coordinator approving them here.
Email to families
Off until you say otherwise, so a roster import can never mail forty families by itself. Sign-in links and payment receipts are not affected — those go to someone who just asked for them.
Overdue reminders
One email per parent listing everything they owe, no more often than the cooldown. Preview before you turn it on.
Where approved reimbursements go
The bookkeeper who receives the receipt once a reimbursement is approved. They do not sign in and cannot approve anything — they just get the email. Each unit has its own, so the Troop and the Pack can differ.
Card processing rate
What your processor charges. Used only to work out what a payer is charged when a collection adds the fee on top — the fee actually taken is recorded from the payment itself. Square's online rate on the free plan is 3.3% + $0.30; check your own plan, it is not the same for everyone.
Invite someone
Admins run the unit's money: record cash, post charges, manage collections and the roster, approve reimbursements. Parents only see their own Scout. Owners are the people who can change who has access and hand off the unit — keep that to two, so nobody is ever the only one who can get back in.
Who has access
A unit always keeps at least one owner. Removing the last one is refused. The treasurer is the one who signs off reimbursements — every admin can see what has been filed, only a treasurer decides.
File a reimbursement
Somebody spent their own money on the unit. Name whoever should be paid back — it does not have to be you.
Only collected because a check has to go somewhere.
Waiting for approval
Look at the receipt, then approve — approving emails it straight to the accountant with the receipt attached. Everything still waiting is here, whichever year it was filed in.

Send a message
Goes to the people you tick, from your unit's address. Nothing is sent until you press send and confirm the count.
Filled in for each parent: {parent}, {scouts}, {unit}, {balance}, {link}. Anything else in braces is left exactly as you typed it.
